Mail Migration Manager

Opportunity

The process to migrate a user’s email and calendar from an on-premise server to the cloud required a company’s IT Administrator to migrate one user at a time and interact with five different tools to complete the transfer. Anticipating the high demand for IBM Verse (IBM cloud mail offering), improving this process was essential to the business.

As UX and research lead, we created  a more efficient process for our users—allowing them to manage large groups of users.

Impact

Our solution was influenced and validated by feedback from IT Administrators. For example, finding groups of people to be batched for migration was "…a mind-numbing process". Our solution affords IT Administrators the ability to easily configure and save groups of users for migration.

Our solution decreased the amount of time it took Admins to prep a group of users for migration from hours to as little as 27 seconds.

“We’re not going to gripe about [migration] anymore, I saw the enhancements and they are quantum leaps above what I had to go through when we were moving over those 1,500 people.” - IBM Customer/IT Admin

Kickoff Workshop

I designed and facilitated a workshop to kick the project off resulting in a common understanding of the problem, the users, and desired experience outcome.

User Process

As-Is User Pain-Points: 1. Switching between multiple tools to complete the process 2. Complicated and confusing process 3. Requiring support from other people to complete the process
To-Be Experience Goals: 1. Keep the admin in one context 2. Let the admin complete the process without support from IBM 3. Allow batching of multiple users
